Who's responsible for your data
SwardOps is field-service software used by grounds-maintenance contractors. When a contractor uses SwardOps to manage their customers, that contractor is the data controller and SwardOps acts as their data processor. If you're a customer of a contractor and want to access or erase your data, contact that contractor — they can export or erase it within SwardOps at any time.
What we process
Contact details (name, email, phone), site addresses, job/visit records, quotes & invoices, and — where enabled by the business — crew location while on shift. We do not sell personal data or use it for advertising.
Legal basis
Performance of a contract (delivering and billing for grounds-maintenance work) and legitimate interests (running the service securely). Financial records are kept to meet legal/tax obligations.
Retention
Personal data is kept only as long as needed. Crew location history is purged after 90 days, read notifications after 90 days, and audit logs after 2 years. On erasure, personal details are anonymised while invoices/quotes are retained (anonymised) for the legal tax-retention period.
Your rights
You can request access (a copy of your data), correction, erasure, and portability. Contractors can fulfil access/portability (one-click JSON export) and erasure (anonymisation) directly in SwardOps.

Security
Data is encrypted in transit (HTTPS) and at rest. Access is restricted per-business by row-level security, payment webhooks are signature-verified, and two-factor authentication is available for office accounts.
Cookies
We use only strictly-necessary cookies to keep you signed in. No analytics or advertising cookies, so no consent banner is required.
